Academy Policies and Procedures
Enrollment and Registration
Completion Requirements: Enrollment is finalized upon receipt of registration fee and initial tuition payment. Students are not considered officially enrolled until all required payments have been processed.
Registration Fee: $99.00 (includes USA Judo membership card)
Uniform Pricing:
- Individual uniform components: $150.00 (jacket, pants, and belt)
- Complete starter package: $249.00 (includes registration, USA Judo card, gi jacket, pants, belt, academy patch, and gi tote bag)
Payment Terms: Monthly tuition is processed via automated billing. A valid credit or debit card must remain on file for all active memberships. All tuition payments are final and non-refundable under all circumstances.
Merchandise and Equipment Policy: All clothing and equipment sales are final. Students will be properly fitted before purchase. Once merchandise is worn, washed, or leaves the premises, it cannot be returned for sanitary and hygiene reasons. No refunds or exchanges will be issued for used items.
Membership Benefits and Discounts
Family Discount Structure: Multiple family members from the same household enrolled under one account receive progressive discounts:
- Second family member: 20% reduction
- Third family member: 30% reduction
- Fourth family member: 40% reduction
- Fifth and subsequent members: 50% reduction
- Discount tiers are assigned by order of enrollment, not by plan type.
- If an earlier-enrolled family member cancels their membership, all remaining family members shift up one discount tier accordingly, and the vacated tier's charge is removed.
Professional Service Discounts: We honor our local heroes with special pricing for active law enforcement officers, firefighters, and emergency medical technicians. Verification of employment required.
Note: Promotional offers and discounts cannot be combined.
Contract Terms and Renewal
Automatic Renewal: All membership contracts automatically renew for equivalent terms upon expiration. Members must provide thirty (30) days written notice to prevent automatic renewal.
Rate Adjustments: Tuition rates may be adjusted at the time of contract renewal with appropriate advance notice.
Payment Policies
Late Payment Fees: A $25.00 late fee will be assessed for any payment received after the due date. Late fees are automatically charged to the payment method on file.
Grace Period: A 5-day grace period is provided. If payment is received within 5 days of the due date, the $25.00 late fee will be removed from your account.
Billing Cycle: Monthly charges are processed on the same date each month as specified in your membership agreement.
Membership Modifications
Cancellation Procedures
Membership cancellation requires thirty (30) days written notice submitted through your GymDesk account. Final billing will occur one month following notice submission.
Minimum Commitment: All membership plans, including month-to-month arrangements, require a three (3) month minimum commitment from enrollment date.
Cancellation Fees:
- Month to month: $25.00 processing fee
- 12-month contracts: $200.00 processing fee
- No buyout fees assessed
Re-enrollment: Former members may re-join at any time but must pay current registration fees and will be subject to prevailing tuition rates.
Membership Freeze Options
Temporary membership suspension preserves your contracted rate and eliminates re-registration requirements upon return. Freezing does not pause billing — regular tuition continues to be charged for the full duration of the freeze, and there is no separate freeze fee. In exchange, the number of months frozen is added to the end of your membership term at no additional charge.
Freeze Requirements:
- Written request must be submitted via GymDesk before next billing cycle
- Minimum freeze period: 1 full month
- Maximum freeze period: Four (4) months per contract year
- No freeze fee — regular tuition billing continues uninterrupted throughout the freeze period
- Contract Extension: For 12-month contract members, the number of months frozen is added to the end of the membership term at no additional charge, extending the renewal/expiration date by that same number of months. Frozen months must be used within the extended term — this benefit is use it or lose it and does not carry over past the new expiration date, since only one freeze is permitted per contract year.
- Early Return: If a member returns to training before their requested freeze period ends, the contract extension will reflect only the number of months actually frozen, not the full period originally requested.
- One Freeze Per Contract Year: Members are permitted only one freeze period per contract year, regardless of how much of the maximum freeze duration was used.
- Month-to-Month Members: The same freeze policy applies — frozen months are added back at no charge once training resumes. Members who choose to cancel instead of freezing remain subject to the standard $25.00 cancellation fee and must pay the current registration fee if they re-enroll later.
Reactivation Process: Members will need to sign an updated waiver upon return. Billing continues throughout the freeze without interruption, so no billing restart is required — regular class access resumes upon return. If a member does not return within the maximum four-month freeze period, the freeze automatically ends and the number of months frozen is added to the end of the membership term, extending the renewal date accordingly (see Contract Extension above).
Training While Frozen: Members cannot attend classes while membership is frozen, regardless of the original freeze start date requested. Returning to train — even a single time — ends the freeze and reactivates the membership; the freeze does not resume or continue if the member subsequently stops attending again, even for an extended period. Tuition billing is not affected by attendance status and continues normally during the freeze.
Student Responsibilities and Attendance
Class Attendance: Students are responsible for attending scheduled classes according to their membership agreement. Regular attendance maximizes training benefits and progress toward advancement goals. The current class schedule is available at https://camalandcruz.gymdesk.com/schedule.
Membership Management: It is the student's responsibility to communicate any need for membership modifications, including freeze or cancellation requests, through proper channels and within required timeframes. Upon enrollment (including free trials), members receive access to an online GymDesk account, accessible at https://camalandcruz.gymdesk.com/login, where all membership modifications, freeze requests, and cancellations should be submitted.
Make-Up Classes: Missed classes may be compensated with make-up sessions at the academy's sole discretion and based on instructor availability and class capacity. Make-up classes are considered a courtesy service and are not guaranteed.
Non-Refundable Commitment: Tuition payments remain non-refundable regardless of attendance frequency. Members are encouraged to utilize membership freeze options for extended absences rather than maintaining inactive memberships.
Policy Updates & Grandfathering: Camal & Cruz typically reviews and updates its membership policies annually, though updates may also be made mid-year as needed.
• Members who remain continuously active are grandfathered under the tuition rate in effect at the time of their original enrollment for the duration of their current contract term, provided their membership has remained continuously active without cancellation. Tuition rates are subject to change upon contract renewal (see Rate Adjustments), which occurs automatically unless a cancellation request is submitted before the contract renews.
• Grandfathering applies to tuition rates only, not to academy policies. Academy policies — including but not limited to cancellation fees, freeze procedures, communication requirements, attendance procedures, and facility guidelines — may be updated at any time and apply to all active members immediately upon notice, regardless of enrollment date. Policy updates do not increase a member's tuition rate.
• Upon cancellation and re-enrollment, returning members are subject to the current policy and tuition schedule in effect at the time of re-registration.
Members will be notified of material policy changes through their GymDesk account. Continued active membership following notification constitutes acceptance of updated operational policies.
Member Communication and Digital Access
Digital Access: Each member receives unique login credentials for our management system. Daily attendance must be recorded using the facility iPad upon arrival.
Official Communication Channel: All inquiries, requests, and correspondence must be submitted through your GymDesk member portal to ensure proper documentation and response. This includes billing inquiries, membership modifications, freeze requests, cancellations, and family member additions.
Communication Requirements: Members must enable and maintain active text messaging and email communication (both sending and receiving) through their GymDesk account. This ensures you receive important academy announcements, schedule changes, billing notifications, and can communicate with staff. Check your GymDesk account settings and phone/email preferences to enable two-way communication.
Instructor Communication Policy: Members must refrain from texting, calling, or messaging instructors regarding any administrative matters including billing questions, membership changes, cancellations, freeze requests, or other business-related inquiries. Instructors are not authorized to handle administrative functions and cannot process these requests.
Important: Communications sent via voicemail, personal email, social media, or other unofficial channels are not considered valid requests and may not receive response.
Our academy maintains high standards of conduct to ensure a respectful, safe, and productive learning environment for all members.
Photography and Videography Policy
Media Consent: By enrolling at the academy, members consent to being photographed or videotaped during training sessions, events, competitions, or other academy activities at any time without prior notice.
Usage Rights: The academy retains full rights to use any photographs or videos for promotional purposes including but not limited to social media posts, website content, marketing materials, and advertising campaigns.
No Compensation: Members acknowledge that no compensation will be provided for the use of their likeness in academy promotional materials.
Publication Consent: Images and videos may be posted on academy social media platforms, websites, or other digital and print marketing materials at the academy's discretion.
Professional Courtesy
- Demonstrate respect toward all academy personnel, including instructors, assistant instructors, administrative staff, and program directors
- Follow staff instructions promptly and courteously
- Address concerns through appropriate channels
Facility Guidelines
- Adhere to published dress code requirements at all times
- Smoking, vaping, and use of tobacco products are strictly prohibited on academy premises
- Maintain appropriate noise levels, especially during active instruction periods
Training Environment Standards
- Refrain from side coaching or unauthorized instruction during classes
- Allow designated instructors to provide all technical guidance and corrections
- Respect the learning process of fellow students
Non-Participant Guidelines
- Parents and non-training children must remain in designated waiting areas during classes
- Supervise children at all times when not actively participating in instruction
- Maintain quiet conversation levels to avoid disrupting classes
Policy Enforcement: Failure to comply with academy standards may result in membership suspension or termination at management discretion.
